Everything Sopable does today

No modules to buy and no tiers that hide the useful features — everything on this page is included at $4 per person per month. Here is the whole product, screen by screen: what each part is for, and what it changes about how you run onboarding and training.

Two tracks, one record. Both feed the same reports, so checking whether a new hire is actually ready takes a couple of clicks rather than a search.

Content — one handbook, one version of the truth

Content in Sopable is organised the way you'd actually train someone: folders are chapters — “Safety & PPE”, “Install Standards”, “Customer Property” — and files inside them are the individual policies and procedures.

Write a policy directly in the editor with headings, bullet lists, images and embedded video, or upload the PDF, Word or Excel documents you already have. Drag any folder or file to reorder it until the handbook reads in the order that makes sense for a new hire.

Informational folders
Mark a chapter Informational when it's background reading that needs no signature — “About the company”, “Tools & systems we use”. Employees can read it; they aren't asked to acknowledge it. This keeps required reading genuinely short, which is the single biggest factor in whether it gets finished.
Version bumping
When you edit a published file, Sopable increments its version and flags every person who already acknowledged the old one with “Updated since you read it.” They see the new version in their handbook and acknowledge again. You don't send an email, and you don't maintain a list of who's on which version.

Assignments & Pathways — nobody reads what doesn't apply to them

The fastest way to guarantee training never gets finished is to assign all of it to everyone. An install tech does not need the office data-handling policy. The dispatcher does not need the refrigerant procedure.

Assignments map content to people. For each person, each folder can be set three ways: full folder — they get every document in it, and any document you add later flows to them automatically; partial — you pick individual files; or not assigned — they never see it.

Select several employees at once to make the same change in bulk. Save, and their handbook updates immediately — no publish step, no notification queue to manage.

Pathways solve the repetition. If every new install tech needs the same nine documents, save that selection once as a Pathway — “New Install Tech”, “Office Onboarding”, “Subcontractor Basics” — and apply it to any new hire in one click. Applying a pathway adds those assignments on top of whatever the person already has, so it composes cleanly with role changes and promotions.

Edit a pathway any time. Future applications use the updated selection, so improving your onboarding for one role improves it for every subsequent hire in that role.

The proof layer

Acknowledgments & sign-off — a record that means something

This is where Sopable differs most from a document repository with read-receipts.

Acknowledgment is scroll-gated. The “I acknowledge & have read this” button stays disabled until the employee actually reaches the end of the document. They cannot acknowledge a policy they haven't scrolled through. When they do, the date and time are recorded against their name.

Signatures are per chapter. Once every document in a folder has been acknowledged, an Acknowledgment sign-off entry unlocks at the end of that chapter — locked until then. The employee draws their signature with a finger or mouse, or types it, and submits. It's stored with the exact date and time and can be retrieved at any point afterwards.

This is the digital equivalent of the acknowledgment form your office has been filing in a cabinet — except it's dated precisely, it can't be lost, and finding a specific one takes seconds instead of days.

And it stays honest when things change. If a document inside a signed chapter is revised, the employee is flagged to re-read it and may be asked to re-sign, so their signature always corresponds to what they actually read. A signature against a superseded version is exactly the kind of record that fails under scrutiny — this prevents it.

The employee’s view

From the employee’s side it’s a single screen. A sidebar lists every chapter and document assigned to them with a status marker against each — not read, read and acknowledged, or changed since you read it. A progress bar at the top shows how much is left.

No hunting through email attachments, no wondering what’s still outstanding.

AI quizzes — from acknowledgment to actual understanding

An acknowledgment proves someone opened a policy. A quiz proves they understood it. Sopable generates that quiz itself, from the text of the policy you wrote.

Turn a quiz on for any text-based document and set three things: the question count, the difficulty mix (Easy, Medium or Hard), and the pass mark. Employees assigned that document then see a “Check your understanding” card under the policy.

Questions are generated fresh on every attempt
There is no fixed answer sheet — so there's nothing to circulate in the crew chat, and a retake is a genuine second test rather than a second try at the same five questions.
Every answer is backed by a quote
When results are shown, each correct answer appears alongside the verbatim sentence from your policy that proves it. A wrong answer therefore teaches the right one, with the authority of your own document behind it. This is why the quiz functions as training rather than just assessment.
Quizzes stay aligned to your content automatically
Because questions are generated from the current text, editing a policy updates its quiz with no separate maintenance. Employees who passed an older version can be asked to retake.

What you see as a manager

The Results tab gives you attempts, average score, pass rate, and how many employees haven't finished — plus a per-employee table with each person's attempt history one click away. At the library level, each folder card shows an “N of M quizzes on” counter and you can filter the whole library by quiz status.

Sopable will also tell you when a document doesn't contain enough material for the number of questions you've configured, so you're not comparing attempts that asked different numbers of questions.

Checklists, Workflows & Runs — the jobs that happen every time

Reading isn't the whole of onboarding. Someone has to order the uniform, set up the email account, hand over the truck keys, book the ride-along, and confirm the tool inventory. Those steps live in somebody's head, which is why something is almost always missing on day one.

Checklists are reusable templates for a repeated job — “New Tech Equipment Setup”, “First-Week Orientation”, “Vehicle Handover”. Add the items in the order they should be done and drag to reorder. Editing a checklist never disturbs work already in progress: in-flight runs keep the copy they started with, so your history stays accurate.

Workflows bundle checklists into a process you can trigger. “New Technician Onboarding” might be the HR paperwork checklist plus the IT setup checklist plus first-week orientation. One workflow, three checklists, one trigger.

Runs are what happens when you trigger it. Choose the employees involved and each person gets their own copy of every attached checklist. Status is derived from the items themselves — Active while work remains, Completed when every item is ticked, Closed if you end it early — so the status can never be out of step with reality. Nobody marks a run “done” while items are outstanding.

Every tick is recorded permanently with who did it and when. Add comments at item or run level for context — “waiting on the vendor, ETA Friday” — and they're permanent and attributed too. Filter runs by workflow, status or date range, and open any one for the full tracking view.

Reporting — one glance instead of one report

Dashboard
Counts across the top: employees, active and inactive, content folders and files, checklists, workflows. Below that, the screen that earns its place: Reading progress by employee, ranking everyone by the share of their assigned documents they've acknowledged, highest first. The people at the bottom are the ones to chase — you don't have to run anything to find out who they are. Alongside it, in-flight checklist progress per person, with finished items dropping off the list.
Employee records
One row per person with their designation, role, reading progress and a quiz-standing chip — Not started, In progress or Needs attention. That last one is the built-in triage signal: it puts reading progress and quiz trouble side by side in a single table, which is the fastest “who do I chase” view in the product. Click through for the full picture: reading progress against every assigned document, workflow runs, checklist items completed, and average completion time.
Calendar
The same activity on a timeline — when runs started and ended, when employees joined, when content was assigned, when chapters were signed off. Month and week views, filterable by employee. When someone asks “what onboarding happened in August?”, the answer is one screen with dates attached.

Adding someone takes a minute
Name, work email — which is also their login — designation, photo, and who they report to. They can sign in immediately; there's no password to create, no invitation flow to chase, no temporary credential to communicate.
Three roles, one clean line
Employees see their own handbook, the org chart and their own profile. Managers get the full admin area — content, assignments, pathways, checklists, workflows, runs, calendar, employee records — with Company Settings staying admin-only. That means you can hand day-to-day operation to an ops manager without giving up control of branding, theming or the account itself.
Deactivation keeps the record
When someone leaves, deactivate them. Access ends immediately, and every acknowledgment, signature and quiz attempt they ever made is preserved. That's deliberate: the training record for a former employee is often the one you most need to produce.
The org chart maintains itself
It's drawn from the reports-to field on each employee, so there's nothing separate to keep updated — add a new hire under their manager and the chart already shows them. Everyone can see it, which is genuinely useful in week one when every name is new. Pan by dragging, zoom by scrolling.

Make it look like your company, not ours

Your crew shouldn't feel like they're signing into a vendor's product. Upload your logo — it appears in the sidebar for everyone — set your company name and a one-line description, and then set the colours.

Not one accent colour. The full token set, grouped as Brand (primary, primary text, accent, accent text, sidebar gradient, sidebar ink), Surfaces (page background, body text, cards, card text, secondary, secondary text, muted, muted text, borders) and Feedback (destructive, destructive text, focus ring).

Every change previews instantly across the whole app while you're choosing, so you're not saving blind. Hover any colour for a card explaining exactly what it paints, with a live sample in your current selection. Changed a colour and regretted it? Each token has its own reset link, and Reset to defaults restores the stock palette. Nothing persists until you click save.

Rebranding? Set your primary colour and the sidebar, buttons and charts recolour live. Save, and every employee sees the new look on their next page load. No designer, no deployment.

What ships today

  • Logo upload (PNG, JPEG, WebP, GIF — up to 5 MB)
  • Company name and description
  • Full theme-colour token set across Brand, Surfaces and Feedback groups
  • Live preview across the entire app while selecting
  • Per-token hover explanation with a live sample
  • Per-token reset and global reset to defaults
  • Explicit save — nothing applies until you commit
  • Admin-only

Access and records

No passwords anywhere in the product. Sign-in is a work email plus a one-time 6-digit code delivered to that inbox. Codes expire after ten minutes and work once — requesting a new one invalidates the old. There's a 60-second cooldown before a resend. If an email address isn't registered, no code is sent at all.

The practical effect is that access is tied to the work inbox your company already controls. There is no password to create, reset, reuse across sites, share between crew members, or leak in someone else's breach. When you deactivate an employee, the door closes — there's no lingering credential to worry about.

Role separation keeps Company Settings admin-only, so managers can run operations without changing branding or account configuration.

Records are append-only in practice. Acknowledgments, signatures, quiz attempts, checklist ticks and comments are permanent and attributed. Editing a checklist doesn't rewrite runs already in progress. Deactivating an employee doesn't delete their history.

What Sopable doesn't do

We'd rather you find this out here than three weeks into a trial.

  • It's not a field service management system

Sopable doesn't dispatch jobs, schedule crews, quote work, or invoice customers. If you're running ServiceTitan, Housecall Pro, Jobber or similar, Sopable sits alongside it — that tool runs the work, Sopable makes sure your people are trained and the record proves it.

  • It's not an HR or payroll system

No timesheets, no leave balances, no payroll. It holds the training and policy record, not the employment file.

  • It's not a course-authoring tool

You won't build branching scenarios, SCORM packages or animated modules. Sopable is built for the documents you already have — policies, procedures, checklists — read, acknowledged, signed and quizzed.

  • It doesn't grant or verify licences

Sopable records and proves that a technician was trained on a procedure. It doesn't issue certifications, track licence expiry with regulators, or substitute for any statutory training requirement in your jurisdiction. Check what your trade and region require.

If any of those are what you're looking for, we're not the right fit — and we'll say so on the call.

Bring one policy. See the whole thing work.

The fastest way to evaluate Sopable is on your own material. Send us one document you already use — a safety policy, an install standard, your handbook — and in 20 minutes we'll load it, assign it, turn on an AI quiz generated from your own text, and show you the record it produces.

No obligation · We'll tell you if you're not a fit
